2. Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details: your name, telephone number, email address, postal address and preferred contact method.
- Enquiry and property details: postcode, property type, camera requirements, areas to protect, preferred package, timeframe and any information you provide in a message, call, email or WhatsApp conversation.
- Quotation and contract details: survey notes, proposed equipment, installation scope, quotation acceptance, appointments, deposits, payments, invoices and correspondence.
- Installation and support details: system serial numbers, configuration information, warranty and service records, and information needed to diagnose a fault.
- Images or recordings you provide: property photographs, plans or limited CCTV footage where you choose to provide it for surveying, installation or support. Please do not submit footage or sensitive information through the website quotation form.
- Website and device information: IP address, browser and device type, referring page, page interactions, security events and server logs. Optional analytics data is collected only with Analytics consent, and Meta advertising-measurement data only with separate Marketing consent.
We do not ask for special-category personal data through the quotation form. Please do not include health, biometric, criminal-offence or other highly sensitive information unless it is genuinely necessary and we have agreed an appropriate way to receive it.
3. How we receive information
We normally receive information directly from you through the website, email, telephone, WhatsApp, a survey, an installation visit or later support. We may also receive relevant details from a joint property owner, landlord, managing agent, employer or another person authorised to arrange the work. If you provide information about somebody else, please ensure you are authorised to do so.
4. How we use information and our lawful bases
We use personal information only where we have a lawful basis. The basis depends on the activity:
- Steps before a contract and performance of a contract: to understand your requirements, prepare and discuss a quotation, arrange access, install and configure equipment, take payment, provide warranty service and manage the customer relationship.
- Legitimate interests: to manage enquiries, schedule work, keep proportionate business records, improve our services, protect our systems, prevent fraud, recover sums due and establish or defend legal claims. We balance these interests against your rights.
- Legal obligations: to keep accounting and company records, meet tax obligations, respond to lawful requests and comply with health, safety, consumer and data-protection law.
- Consent: where the law requires consent, including optional non-essential cookies, analytics or marketing technologies and certain electronic marketing. You can withdraw consent at any time.
We do not make decisions about you solely by automated means that produce legal or similarly significant effects.
5. How enquiries are processed
When you submit the quotation form, the website validates the information you enter and sends it securely to Formspree, Inc., our form-processing provider. Formspree processes the submitted fields and associated security information to filter spam, store and deliver the enquiry to BlueMax, and issue the configured notification. The form remains on this website while the request is processed.
We use the information to assess the request, check coverage and practical requirements, contact you using your chosen method, prepare a quotation and follow up reasonably. An enquiry does not oblige you to buy, and we do not use quotation consent as consent for unrelated marketing.
6. Marketing preferences
We may send service information that is necessary for an enquiry, booking, installation or warranty matter. Promotional messages are separate. We will send electronic marketing only where permitted by applicable law and will provide a clear way to opt out.
You can withdraw marketing consent or object to direct marketing at any time by contacting hello@bluemaxinfo.co.uk. We may keep a minimal suppression record so that we continue to respect your preference.
7. Who we share information with
Access is limited to people who need the information for the purposes described above. We may share information with:
- authorised BlueMax staff, engineers and installation contractors;
- Formspree, Inc., which provides form submission, spam filtering, storage and notification services;
- Google LLC, which provides Google Analytics 4 after Analytics consent;
- Microsoft Corporation, if BlueMax activates Microsoft Clarity, which would provide consent-controlled website interaction analytics after Analytics consent;
- Meta Platforms Ireland Limited and its affiliates, which provide Meta Pixel advertising measurement after Marketing consent;
- website hosting, security, email, telephone, messaging, customer-management and data-backup providers;
- payment, banking, accounting and professional-advisory providers;
- equipment manufacturers or distributors where necessary for technical support or a warranty claim; and
- courts, regulators, law-enforcement bodies or other authorities where disclosure is required or permitted by law.
Service providers acting for BlueMax must process information only on appropriate instructions and use suitable safeguards. We do not sell personal information.
8. International transfers
Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an applicable UK adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, or another lawful mechanism. You can contact us for more information about the safeguard relevant to your data.
Formspree states that its service is hosted using Amazon Web Services in the United States and that it relies on contractual clauses as a data processor. Further information is available in Formspree’s security information.
9. Cookies, analytics and advertising pixels
With your consent, this website uses Google Analytics 4 to understand page visits and selected interactions, including quotation submissions and clicks on BlueMax contact or package buttons. Google may process online identifiers, device and browser information, approximate location derived from an IP address, referring information and interaction data. BlueMax uses these reports to understand and improve the website; we do not enable Google advertising signals or advertising personalisation through this implementation.
The website is technically prepared for Microsoft Clarity, but Clarity remains disabled unless BlueMax adds a valid project ID. If activated, it will load only after Analytics consent and may collect interaction, device and diagnostic information such as page navigation, clicks, scrolling and anonymised session-replay data. Microsoft advertising storage remains denied in the BlueMax configuration.
With separate Marketing consent, Meta Pixel (Pixel ID 3611919112309053) records page views and selected events used for advertising measurement, attribution, audience creation and potential retargeting: a successful Formspree quotation submission, telephone, WhatsApp or email contact selections, and CCTV package selections. Parameters may include the contact method or package name. We do not send quotation-form contact details, postcode or free-text answers to Meta through this Pixel implementation. Meta may combine event and online-identifier information under its own terms and privacy controls.
Optional categories are denied by default and their external libraries are not requested before the relevant affirmative choice. Your separate Analytics and Marketing choices are stored in your browser and can be changed or withdrawn at any time through “Cookie settings” in the footer. Withdrawing a category stops future tracking through that category on BlueMax pages. Read more in our Cookie Policy, Google’s Privacy Policy and Meta’s Privacy Policy.
10. Data retention
We keep personal information only for as long as it is reasonably needed. Our standard starting points are:
- quotation enquiries that do not proceed: up to 24 months after the last meaningful contact;
- customer contracts, quotations, invoices and payment records: normally six years after the end of the relevant financial or contractual relationship;
- installation, equipment and warranty records: for the warranty period and, where needed, up to six years after completion to manage service history and legal claims;
- routine website security logs: normally up to 12 months, unless an incident requires longer investigation;
- marketing consent and suppression records: for as long as needed to demonstrate or respect the preference; and
- information connected with a complaint or dispute: until the matter and any applicable limitation period have ended.
Website submissions may also remain in the BlueMax Formspree account until they are deleted under our retention process or according to the service configuration. We periodically remove submissions that are no longer required.
These periods may be shortened where information is no longer needed or extended where law, fraud prevention, safeguarding or a legal claim requires it. We review retention and securely delete or anonymise information when appropriate.
11. CCTV systems installed for customers
After handover, a customer will normally control the recordings produced by their own CCTV system and is responsible for operating it lawfully. BlueMax does not routinely view or store customer footage. If access to a live system or sample footage is needed for support, we will limit that access to what is reasonably necessary and ask the customer to use a suitable transfer method.
12. Your UK GDPR rights
Depending on the circumstances, you may have the right to:
- be informed about how your information is used;
- request access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask for erasure or restriction of processing;
- object to processing based on legitimate interests;
- object to direct marketing at any time;
- receive certain information in a portable format;
- withdraw consent without affecting earlier lawful processing; and
- complain to the Information Commissioner’s Office.
Rights are not always absolute. To make a request, email hello@bluemaxinfo.co.uk. We may ask for information needed to confirm your identity and usually respond within one month, subject to lawful extensions.
13. Security
We use proportionate technical and organisational measures intended to protect information against accidental loss, misuse, unauthorised access, alteration or disclosure. Access is limited according to business need. No method of internet transmission or storage is completely secure, so please use care when sending information and do not place sensitive details in the website message field.
14. Complaints and ICO guidance
Please contact us first so that we can investigate and try to resolve your concern. You can also contact the UK Information Commissioner’s Office. Current guidance and complaint routes are available at ico.org.uk/make-a-complaint.
15. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version will remain available on this page and will show its latest update date.
